North Canberra Hospital (NCH) Pharmacy comprises a highly functioning and friendly team of approximately 55 staff, including Pharmacists and Pharmacy Technicians, providing clinical pharmacy services to NCH and Clare Holland House. Our hours of operation are 0800 to 1730 Monday to Friday, 0800 – 1700 Saturday, Sunday and Public Holidays.

The Pharmacy Administrative Assistant will work as a member of the NCH Pharmacy team, providing administrative support to the NCH Pharmacy department under the direction of the Lead Pharmacists and Director of Pharmacy.
Key responsibilities
- Manage the daily administrative activities of the department including, for example, answering and directing telephone calls, managing correspondence, diary management, arranging meetings, assisting with recruitment processes, assisting with roster scheduling and Kronos timecard management, archiving and storing records physically and digitally and ordering and maintaining supply of a range of consumables and other non-pharmaceutical materials required to provide pharmacy services.
- Act as a conduit between the Pharmacy and the hospital executive team, coordinating correspondence and tracking reporting requirements ensuring that all required timelines are met.
- Provide support for finance functions, for example process invoices and make appropriate payments as well as recovering appropriate payments from debtors and funding bodies, assist in reconciling staff pay claims, collate and organise PBS scripts for PBS claims, manage acquisition and supplies, and inventory management.
- Assist in collation, management, presentation and basic manipulation of data.
- Provide secretariat support to a range of meetings held and arranged by the Pharmacy Department. This includes organisation of meeting rooms, collation of agendas, recording and preparation of minutes and assisting with completion of resulting actions.
- Undertake other duties appropriate to this level of classification as directed by the which contribute to the operation of the organization.

Prior to commencement
- Pre-employment National Police Check.
- Current registration issued under the Working with Vulnerable People (Background Checking) Act 2011 is required.

CHS is leading the drive to digitally transform health service delivery in Australia through the implementation of a territory wide Digital Health Record. Computer literacy skills are required which are relevant to this role as you will be responsible for completing required documentation and becoming a proficient user of the Digital Health Record and/or other Information Technology systems; once proficient, you will need to remain current with changes, updates, and contingencies.
Key selection criteria

- Proven experience in providing administration support including the ability to problem solve, use initiative and work with competing demands in a complex work environment.
- Well-developed written and oral communication and interpersonal skills including the ability to liaise, consult and work with a range of stakeholders.
- Demonstrated experience in use of computer applications, including Microsoft Office Suite as well as a knowledge of ACT Health applications (eg the Digital Health Record) or the ability to acquire these quickly.
- Demonstrated experience with data management including collation, interpretation, manipulation and presentation.
- Demonstrated understanding of, and adherence to, safety and quality standards, Work Health and Safety and the positive patient experience. Demonstrated behaviour consistent with the NCH Pharmacy Vision, Mission and Values as well as CHS’s values (reliable, progressive, respectful, and kind).
