Position Overview
The Surgical Bookings Team leader is responsible for the day-to-day supervision and roster management of the surgical bookings team, ensuring the team follow policy, process and procedures. The team leader will also support the division in the provision of timely and accurate business and waiting list management functions and information.
The team leader will be able to demonstrate initiative, a commitment to excellence, strong problem-solving and data analysis capabilities, the capacity to communicate effectively with stakeholders and a strong team focus to assist is in the delivery of day-to-day operations. This role will work collaboratively with the Surgical Liaison Nurses, ADON – Surgical Scheduling and the Operations Manager.
Key responsibilities
Specific responsibilities include, but are not limited to, the following.
Under limited direction of the Operations Manager, you will:
- Supervise and coordinate the daily operations of the surgical bookings administrative team including leave management and assisting with recruitment processes.
- Set & monitor tasks and goals for the team and provide training guidance and support where needed.
- Undertake technical and administrative validation of waiting lists and escalate clinical validation requirements to respective surgical intake nurse.
- Ensuring data parameters are consistent with organisation requirements and reflect organisational and clinical structures.
- Design, develop and provide waiting list summary reports to support decision-making and improved management of the waiting lists, and to inform business or clinical improvements across the Division.
- Responsible for scheduling and auditing the waiting lists and providing a weekly patient tracking tool for distribution to the surgical scheduling team.
- Work with team members and stakeholders to facilitate appropriate improvements to improve waiting list management in accordance with the CHS Access Policy.
- Work together in partnership with others team members and colleagues to achieve common goals.
- Manage confidentiality and sensitivity of information.
- Undertake other duties appropriate to this level of classification which contribute to the operation of the organisation.

Position Requirements / Qualifications
Essential
- Demonstrated experience managing an administrative team.
- Demonstrated experience in data and information management, analysis and presentation including use of Excel Spreadsheets;
- Proven experience in the use of electronic patient records;
- CHS is leading the drive to digitally transform health service delivery in Australia through the implementation of a territory wide Digital Health Record. Computer literacy skills are required which are relevant to this role as you will be responsible for completing required documentation and becoming a proficient user of the Digital Health Record and/or other Information Technology systems; once proficient, you will need to remain current with changes, updates and contingencies.
Desirable
- Knowledge of data quality and quality improvement standards and data audit processes.
- Have an understanding of how the National Safety and Quality Health Service (NSQHS) indicators align with this role.
- Fulfil the responsibilities of this role in alignment to the CHS Exceptional Care Framework and all other related frameworks.
