Position overview

The Division of the Executive Director of Nursing and Midwifery provides strategic leadership and supports a coordinated, collaborative approach to nursing, midwifery, and patient support services across CHS.

The Nursing and Midwifery Workforce Unit is responsible for workforce planning and coordinating recruitment activities across the nursing and midwifery stream. The Unit oversees a centralised recruitment model designed to reduce vacancy timeframes, streamline processes, and support the retention of a skilled and sustainable workforce. The team also provides high‑quality strategic advice and operational support to the Executive Director of Nursing and Midwifery.

The Administration Officer provides administrative and operational support to the Nursing and Midwifery Workforce Unit. Responsibilities include managing shared inboxes and phone enquiries, liaising with managers and candidates, and supporting day‑to‑day administrative functions. The role works closely with, and is supported by, the Team Lead and the Operations Manager.

Key Responsibilities

Specific responsibilities include, but are not limited to, the following.

  1. Provide administrative and general office support to the Nursing and Midwifery Workforce Unit.
  2. Participate in a phone roster, providing advice and actioning requests from internal and external clients.
  3. Liaise with a wide range of stakeholders using well-developed communications skills.
  4. Provide administrative support to track candidates, set up and manage interviews, collate candidate documents, and other recruitment related administrative tasks.
  5. Provide accurate data entry and maintain, distribute, and secure confidential electronic and physical data.
  6. Assist with routine administration and management of the mailbox and prepare draft correspondence, including general correspondence, as necessary.
  7. Undertake other duties appropriate to this level of classification which contribute to the operation of the organisation.

Computer literacy skills are required which are relevant to this role as you will be responsible for completing required documentation and becoming a proficient user of the Digital Health Record and/or other Information Technology systems; once proficient, you will need to remain current with changes, updates, and contingencies.
