Infrastructure and Health Support Services (IHSS) are an integral part of Canberra Health Services (CHS), delivering essential facility, infrastructure, and support services that enable Canberra Hospital and community-based health services to operate safely and effectively.

As part of IHSS, the Environmental Cleaning Services (ECS) team is responsible for delivering high-quality cleaning services across Canberra Hospital and community-based facilities. The service is essential in the effective operation of the overall health service by ensuring clean, safe, and welcoming environments that contribute to clinical operations and a positive experience for everyone who uses our facilities.

The Quality & Workforce Support Officer role provides comprehensive administrative support across team functions, including a broad range of administrative tasks, coordination of day-to-day business activities, and management of meetings, including the preparation of agendas and minutes. The role also supports recruitment processes and acts as the first point of contact for routine ICT and systems issues and supports efficient workflows, business continuity, and the delivery of compliant and well-supported cleaning services.

Key Responsibilities

Specific responsibilities include, but are not limited to, the following.

  1. Provide high-level administrative and operational support to the Quality & Workforce team, including coordinating correspondence, meetings, reporting, records management, and preparation of briefs and documentation.
  2. Assist with recruitment and onboarding processes, including preparing recruitment documentation, coordinating interviews, conducting referee checks, and monitoring pre-employment requirements.
  3. Monitor and maintain employee compliance obligations and workforce records, ensuring mandatory training and role-specific requirements are current and accurately recorded.
  4. Assist with accreditation readiness, including collating evidence, supporting audits, maintaining compliance and CAPA registers, and monitoring actions to support timely completion and reporting.
  5. Maintain operational data systems, databases, and registers related to quality, WHS, incidents, and training, while providing first-level contact for ICT systems support through troubleshooting, managing access requests, and liaising with relevant stakeholders to support business continuity.
  6. Undertake other duties appropriate to this level of classification which contribute to the operation of the organisation.

  • Demonstrated ability to quickly learn and apply IT systems and processes, with the capacity to support basic troubleshooting, coordinate user access, manage service requests, and liaise effectively with ICT providers to maintain business continuity.
  • Demonstrated ability to manage competing priorities, coordinate schedules and meetings, and provide responsive support to managers and stakeholders in a dynamic environment.
  • Demonstrated initiative and a proactive approach to supporting team outcomes, with the ability to anticipate needs, assist where required, and contribute effectively across a range of tasks.
