Position overview
The Division of Mental Health, Justice Health and Alcohol and Drug Services (MHJHADS) is a clinical division of Canberra Health Services. The Division provides a range of health services directly and through partnerships with community organisations. The services provided range from acute crisis support through to treatment, rehabilitation, recovery and harm minimisation. Services are delivered at several locations, including hospital inpatient and outpatient settings, community health centres, detention centres, and other community settings including people’s homes. These services include (and are not limited to):
- Rehabilitation and Speciality Services
- Adult Community Mental Health Services (ACMHS)
- Adult Acute Mental Health Services (AAMHS)
- Alcohol & Drug Services (ADS)
- Child & Adolescent Mental Health Services (CAMHS)
- Justice Health Services (JHS)
Key Responsibilities
Under limited direction of the Director of Allied Health, you will:
- Provide administrative assistance to the Director of Allied Health and the Office of the Director of Allied Health including, but not limited to, coordination, timely follow up of correspondence and tasks, the scheduling of meetings, providing secretariat support for committees, and drafting of correspondence.
- Manage the Director’s diary, email correspondence, and ensure appropriate action is taken. Assist the Director in effective communication via consultation and collaboration with external stakeholders.
- Assist Director in the daily running of the Director’s office through management of financial, physical, human resources. This may include the following tasks:
- Process invoices and accounts payable.
- Prepare reconciliations.
- Report regularly on expenditure.
- Collecting and processing leave forms.
- Stationery orders.
- Assist the Director and staff of the Office of the Director of Allied Health in initiating and implementing new projects by making appropriate contacts, setting up meetings and conducting research for policies and guidelines. This includes gathering and critically analysing information from diverse sources to explore ideas and complete tasks.
- Assist the Director and staff of the Office of the Director of Allied Health in the evaluation of allied health initiatives, projects, policy, and practice.
- Provide administrative support to professional governance functions of allied health staff. This includes having a basic understanding of the statutory and professional requirements for each of the Allied Health professions.
- Undertake relevant quality improvement tasks necessary for the Division and assist in gathering and critically analysing information to provide recommendations for improvement.
- Undertake other duties appropriate to this level of classification with flexibility and contribute to the operation of the organisation.

- Experience or knowledge of the CHS Exceptional Care Framework, and all other related frameworks.
Prior to commencement
Appointment to this position is conditional on being granted and retaining appropriate clearances:
- Undergo a pre-employment National Police Check.

CHS is leading the drive to digitally transform health service delivery in Australia through the implementation of a territory wide Digital Health Record. Computer literacy skills are required which are relevant to this role as you will be responsible for completing required documentation and becoming a proficient user of the Digital Health Record and/or other Information Technology systems; once proficient, you will need to remain current with changes, updates, and contingencies.

- Proven experience in providing support at the Director level, including high level written communication skills, sound interpersonal skills, negotiating skills and the ability to represent Canberra Health Services to external stakeholders.
- Experience in providing high level organisational and office management skills including the ability to exercise initiative, prioritise workloads while maintaining high work standards and accuracy, experience with government financial practices and meeting deadlines.
- Demonstrated ability to provide secretariat support including secretariat experience, advanced keyboard skills and the delivery of administrative support services.
- Demonstrated ability in the gathering and critical analysis of information from diverse sources.
- Demonstrates understanding of, and adherence to, safety and quality standards, Work Health and Safety and the positive patient experience. Displays’ behaviour consistent with CHS’s values of reliable, progressive, respectful, and kind.
