Position overview

Acute Allied Health Services Physiotherapy provides clinical services to a range of clients in the acute inpatient setting and specialised outpatient services at Canberra Hospital. This position will provide high level administrative support to the senior leadership team withing the Acute Allied Health Services Physiotherapy department. It also provides leadership and supervision to the Physiotherapy Administration team. You will also be responsible for supporting departmental data, operational and policy requirements.

Key Responsibilities

Under the general direction of the AAHS Physiotherapy Manager you will perform Office Management and Administration Team Leader duties. You will:

  1. Manage the office of the Physiotherapy department with daily administration tasks and unit governance including, but not limited to:
    • Ensure accurate and timely Proact coding and data entry, including the review and amendment of records to maintain data integrity and compliance with established health information standards.
    • Maintaining and managing databases, filing systems, and research matters.
    • Secretarial Support including scheduling and preparation of meeting papers, recording, and transcribing of meeting minutes.
    • Assisting the Physiotherapy Manager with departmental fiscal matters including Special Purpose Accounts, research funding, Divisional scorecard reporting, inpatient billing, revenue, processing invoices, ordering of stationery, and non-stock requisitions.
  2. Assisting the Physiotherapy Manager with basic human resource functions including the management of leave applications, travel applications, timesheets, and recruitment.
  3. Monitoring and supervising the workflow and workload of booking & scheduling officers, ensuring deadlines are met in an efficient and accurate manner.
  4. Assisting the Physiotherapy Manager to streamline processes and identify quality issues and assist with quality assurance and improvement opportunities within the unit.
  5. Undertake other duties appropriate to this level of classification which contribute to the operation of the organisation.

  • Managerial ability, including the ability to monitor work practices and workflow, set priorities within the work area, develop local procedures, and supervise staff.
  • Assessment of training needs for the work area, staff assessment and performance counselling in relation to an individual's development.
  • Good liaison and communication skills and the ability to communicate with clients within parameters decided by senior management.
