Position overview
The Infrastructure and Health Support Services (IHSS) Group is responsible for the infrastructure delivery and maintenance and a diverse array of non-clinical support services with the primary focus of delivering timely patient centric solutions across the CHS organisation.
The Facilities Management (FM) Branch is a dedicated team that covers a diverse range of functions. The Branch is responsible for planned and reactive maintenance, asset management, minor works upgrades, safety and risk management, engineering services, strategic accommodation, utilities, and contracts and leasing for the Canberra Health Services property portfolio (excluding North Canberra Hospital).
With support from the Director Minor Works, the FM Minor Works Team is responsible for maintaining information flow across many project delivery programs. The FM Liaison role ensures projects are compliant with the FM standard inclusions and specifications and monitors FM project engagement processes while maintaining productive and positive relationships.
The FM Liaison Officer represents FM across vital maintenance, construction, and engineering activities and provides correspondence and communications across various stakeholders. The role escalates and manages issues raised by maintenance and project teams, providing visibility and response opportunities to Senior Directors within FM.
Key Responsibilities
Specific responsibilities include, but are not limited to, the following.
- Monitor capital project delivery program activity, including Asset Renewal Program, and sustain a broad understanding of new projects delivered under capital works programs. Monitor and coordinate integration of the project program activities with Facilities Management (FM) requirements, ensuring adherence and awareness of FM Standard inclusions and FM engagement processes throughout the project delivery program.
- Maintain the FM capital project delivery status report on behalf of FM, tracking the key stages and milestones from early design to project closure.
- Represent FM in the attendance of capital project delivery Project Control Group (PCG) meetings, project forums, weekly project meetings and associated organisational committees. This representation will include coordinating meeting information, project and plant shutdown coordination, follow up on actions outstanding, coordinating FM staff for witness testing milestones, and other interfaces with the FM team.
- Provide FM support with the project handover process, ensuring that the relevant documentation is received, reviewed, completed and integrated into the Facilities Management Asset Management System and operational requirements.
- Coordinate correspondence from FM to the project delivery programs and facilitate information flow. Capture and consolidate all new requests for FM Standard Inclusion documentation and record the requests within the change request register. Draft and review any new sections to be added to FM documents.
- Engage with relevant internal and external stakeholders, including clinical areas on a regular basis, to maintain effective communication during the life of multiple projects and provide support where required.
- Undertake minor investigations and problem-solving activities to support the project delivery team and broader stakeholders in resolving issues quickly as they arise.
- Undertake other duties appropriate to this level of classification which contribute to the operation of the organisation.

- Work requires supervisory, communication, representation, and negotiation skills. Required to represent and negotiate on behalf of the organisation within set parameters.
- Adaptability and flexibility to accommodate change and provide responsive services to meet clients’ needs.
Qualifications
Specific responsibilities include, but are not limited to, the following.
Essential
- Hold a relevant professional qualification in Engineering, Architecture or Project Management, or accreditation with a professional body recognised within Australia; or
- Hold a relevant building degree; or
- Have significant building or infrastructure knowledge and/or project management experience.
- Hold a current driver’s license.
Desirable
- Have an understanding of how the National Safety and Quality Health Service (NSQHS) indicators align with this role.
- Experience or knowledge of the CHS Exceptional Care Framework, and all other related frameworks.
