Position overview

Mental Health, Justice Health and Alcohol and Drug Services (MHJHADS) provides support to youth and adults via inpatient and outpatient settings, community health centres, justice health facilities and other community settings, including people’s homes. MHJHADS aims to be socially inclusive and operate within a recovery-focussed and/or harm minimisation approach.

Located on within the City Community Health Centre, the Office of the Executive Director of MHJHADS provides strategic support to the Executive Director, undertakes high level coordination, liaison, research and reporting and provision of advice on specific issues. The Office currently consists of a Business Manager, Executive Officer and Executive Assistant.

The Business Coordinator reports to the Executive Director through the Business Manager and works closely with other senior leadership teams, including the Clinical Executive Directors across CHS.

Key Responsibilities

Specific responsibilities include, but are not limited to, the following.

  1. Coordinate correspondence on behalf of the division in relation to the Human Rights Commission, Consumer feedback and engagement, and industrial and stakeholder consultation matters.
  2. Support performance and data governance arrangements through secretariat support to the MHJHADS Data and DHR Governance Working Group, and divisional Performance and Improvement meetings.
  3. Undertake research and project duties on operational, administrative and strategic matters on behalf of the Executive Director and Business Manager.
  4. Provide leadership and support to the Executive Assistant cohort across MHJHADS ensuring they are briefed regularly on divisional business matters.
  5. As required, provide support in preparing briefs and correspondence in relation to ministerial and government business matters.
  6. Monitor and maintain the divisional recommendations and actions tracking document and support the preparation of evidence to close recommendations and actions through the appropriate mechanisms.
  7. Undertake other duties appropriate to this level of classification which contribute to the operation of the organisation.

  • Several years’ work experience in a similar role and role environment.

  • Previous experience working within a health administration area supporting Executive level officers.
  • Experience using HPE Content Manager (TRIM).
  • Experience and understanding of Ministerial and consumer feedback processes.
  • Experience or knowledge of the CHS Exceptional Care Framework, and all other related frameworks.

Computer literacy skills are required which are relevant to this role as you will be responsible for completing required documentation and becoming a proficient user of the Digital Health Record and/or other Information Technology systems; once proficient, you will need to remain current with changes, updates, and contingencies.

  1. Proven experience in the provision of high-level support services to a Senior Executive, as well as a proven ability to be solutions focused, make sound judgements and navigate sensitive and complex matters.
  2. Proven experience in the preparation of high-level correspondence and documentation including Human Rights Commission and consumer feedback responses, as well as demonstrated ability to maintain local databases for action and recommendation tracking.
  3. Exceptional organisational and liaison skills, including the ability to exercise initiative and maintain productive and collaborative internal and external working relationships in a complex work environment.
  4. High quality writing, computer and literacy skills, as well as strong experience in a variety of software programs including CHS systems, Microsoft Suite and TRIM.
  5. Demonstrates understanding of, and adherence to, safety and quality standards, Work Health and Safety and the positive patient experience. Displays behaviour consistent with CHS’s values of reliable, progressive, respectful, and kind.
