Position overview
The Medical Imaging Department is part of the CHS Medical Services Group, the Director of Medical Services (DMS) leads a large multidisciplinary workforce. The portfolio includes:
- Operational Management of elements for the medical workforce from Junior Medical Officers (not including prevocational doctors) to senior staff and Visiting medica Officers.
- Pharmacy for Canberra Hospital, University of Canberra Hospital and community,
- Healthcare Technology Management.
The Medical Imaging Department operates 24 hours, seven days a week and is made up of the following modalities:
- Angiography (XA)
- Computed Tomography (CT)
- Fluoroscopy (RF)
- Magnetic Resonance Imaging (MRI)
- Mammography (MG)
- Nuclear Medicine (NM)
- Positron Emission Tomography (PET)
- Ultrasound (US)
- X-Ray (XR)
The successful applicant will be required to problem solve and communicate effectively with internal and external stakeholders. They will be highly motivated to complete tasks on time and be able to work independently and as a part of a team. The role will require participation in a rotating roster and may include afterhours or weekend work.
Key Responsibilities
Under limited direction of the Team Leaders and Administration Manager you will perform a number of reception and administrative duties to provide support to the Department. You will:
- Provide reception and administrative services, including telephone enquiries, to stakeholders attending the Medical Imaging Department.
- Perform data entry of patient requests ensuring accurate entry of all relevant data, including generation, and issue of records as required.
- Be responsible for the scheduling of patients requiring attendance for modality bookings and providing relevant information.
- Maintain modality waiting lists.
- Liaise with consumers, internal, and external stakeholders for the provision of a successful Medical Imaging service.
- Assist Team Leaders in the orientation of new staff.
- Commitment to perform duties in any of the Medical Imaging administration areas.
- Undertake other duties appropriate to this level of classification which contribute to the operation of the organisation.

Qualifications & Experience
Essential
- Have an understanding of how the National Safety and Quality Health Service (NSQHS) indicators align with this role.
- Fulfil the responsibilities of this role in alignment to the CHS Exceptional Care Framework and all other related frameworks.
Desirable
- Knowledge of Canberra Health Services internal software packages.
- Previous experience working professionally within an administrative role.

Computer literacy skills are required which are relevant to this role as you will be responsible for completing required documentation and becoming a proficient user of the Digital Health Record and/or other Information Technology systems; once proficient, you will need to remain current with changes, updates, and contingencies.

- Proven well developed oral and written communication skills, including ability to liaise with a broad range of clients via telephone, fax, and email within a multidisciplinary environment.
- Demonstrated ability or willingness to learn scheduling of Medical Imaging modality bookings effectively and efficiently.
- Demonstrated understanding of confidentiality procedures and practices in relation to a healthcare environment. Good organisational skills including ability to prioritise workloads to meet established deadlines and flexibility to work across multiple teams.
- Demonstrated ability to utilise computer programs including Microsoft Office, Word and Excel, familiarity with a radiology information system (e.g. IDIS) and possession of keyboard skills of a high level.
- Demonstrates understanding of, and adherence to, safety and quality standards, Work Health and Safety and the positive patient experience. Displays behaviour consistent with CHS’s values of reliable, progressive, respectful, and kind.
