Position overview

Under limited direction, the Sterilising Services Assistant Director, Operations, is responsible for the overall leadership and management of the operational team, including implementing and ensuring ongoing compliance with national standards, CHS policies and procedures, and legislative requirements in all areas of operation. The Assistant Director, Operations has accountability for operational budgets, customer relations, and ensuring a patient focused quality service is delivered to each customer.

Key Responsibilities

Specific responsibilities include, but are not limited to, the following.

  1. Provide leadership to effectively manage human resources and co-coordinate day-to-day management of all areas within Sterilising Services in accordance with policies and procedures.
  2. Ensure equipment is maintained, validated, and calibrated according to the standard requirements; review and maintain records of maintenance reports systematically.
  3. Interpret and apply CHS policies and procedures and relevant legislation, as required.
  4. Implement, monitor, and maintain the requirements of Australian Standard 5369, normative references, and ISO 9001 Quality Management System and ensure that processes align with evidence-based practice.
  5. Conduct regular audits and reviews of areas within Sterilising Services, including reviewing Riskman incidents to identify trends, opportunities for training and process improvements, and staff performance issues.
  6. In collaboration with the Sterilising Services Director, develop, review, and implement policies, procedures, and work instructions.
  7. Proactively manage Work Health and Safety (WHS) issues and identify and eliminate or minimise risks in consultation with staff and Health and Safety Representatives (HSRs). Ensure all staff are familiar with the WHS Management System (WHSMS). Manage and maintain the WHS Corrective Actions Register (CAR).
  8. Manage all aspects of staff performance, including the CHS Strengths, Engagement and Development (SED) Plan.
  9. Identify and address culture issues as they arise. Review staff culture survey results and develop and implement an action plan in response to concerns raised.
  10. Work with the operational team to achieve team and organisational goals.
  11. Provide high-level written correspondence, including briefs, procurement documents, consultation papers, email communications, meeting Minutes, and other written correspondence as required.
  12. Build and maintain effective and respectful relationships with team members, and other stakeholders, ensuring CHS Values and are upheld.
  13. Undertake other duties appropriate to this level of classification which contribute to the operation of the organisation.

  • Service delivery or corporate support functions, including marketing, project work, policy development.
  • Liaise and negotiate with other elements of the organisation, other government agencies State and Local authorities or business or community organisations, including tenders and the development of contracts and representing the agency at meetings, conferences, or seminars.
  • Decisions taken or delegations exercised at this level may have major impact on the day-to-day operations of the work area. Delegations exercised may involve making determinations, instigating another course of action or reviewing decisions.
  • Guidelines, rules, instructions or procedures for use by other staff and interested parties may be developed at this level.
  • Supervisors at this level should recognise the importance of sound human resource management and have demonstrated personnel management skills and the ability to apply equal employment opportunity principles, occupational health and safety procedures and industrial democracy guidelines. An awareness of training principles and a knowledge of the training resources available are also usually required at this level. Identification of programs appropriate to the work area may be undertaken at this level.
  • Well-developed liaison and communication skills and the ability to negotiate or communicate, under limited direction, on behalf of the agency with clients or other interested parties may be needed.
  • Work at this level requires a knowledge and awareness of agency operations, as related to government initiatives or policies, and an understanding of computer or keyboard applications appropriate to the functions of the position.
  • Position requires the ability to apply or interpret legislation, regulations, corporate objectives, instructions or other guideline material relating to the operations, policies or functions of the work area, and the capacity to undertake high level research, reviews or investigations, including the preparation of reports and associated papers.
  • Co-ordinate Branch or Divisional inputs to the development of new policy proposals, savings options and other financial investigations, prepare submissions for senior management.

  • Be available to rotate through a weekend/public holiday on-call roster. This position is primarily Monday to Friday daytime hours; however, there is a requirement to rotate through the emergency on-call roster with other managers.

Computer literacy skills are required which are relevant to this role as you will be responsible for completing required documentation and becoming a proficient user of the Digital Health Record and/or other Information Technology systems; once proficient, you will need to remain current with changes, updates, and contingencies.
