Position overview
The Infrastructure and Health Support Services (IHSS) Group is responsible for the infrastructure delivery and maintenance and a diverse array of non-clinical support services with the primary focus of delivering timely patient centric solutions across the CHS organisation.
The Facilities Management (FM) Branch is a dedicated team that covers a diverse range of functions. The Branch is responsible for planned and reactive maintenance, asset management, minor works upgrades, safety and risk management, engineering services, strategic accommodation, utilities, and contracts and leasing for the Canberra Health Services property portfolio (excluding North Canberra Hospital).
The Administration Support Officer provides frontline reception duties including receiving incoming calls and emails for maintenance work orders, processing work orders for maintenance across the Canberra Hospital and off-site facilities, verifying documents using the Rapid Global system, processing items such as contractor service reports and invoices using Mainpac and Apias, and supporting access for contractors and other stakeholders.
Key Responsibilities
Specific responsibilities include, but are not limited to, the following.
- Provide high level customer service in responding to telephone calls, email requests and actioning maintenance requests via phone and/or email.
- Processing maintenance requests, maintaining appropriate records and entering information into database and IT systems relevant to Facilities Management.
- Effectively deal and communicate with internal and external stakeholders using strong interpersonal, oral and written communication skills.
- Provide general administrative support to the FM team, such as, but not limited to, coordinating and providing secretariat support to meetings and other general office duties.
- Undertake other duties appropriate to this level of classification which contribute to the operation of the organisation.
